These reports are useful when you need to review pension changes, check employee and employer contributions, or provide pension information to your payroll or pension provider.
Who can access Pension Contribution Reports?
To access Pension Contribution Reports, you will need to be set up as an administrator in Happl.
If you have admin access, you should be able to see the additional admin sections in the left-hand navigation menu. If you cannot see these options, please contact your Happl representative or support team.
Where to find Pension Contribution Reports
To find your Pension Contribution Report:
Log in to Happl.
Go to Finance in the left-hand navigation menu.
Select Reports.
Choose Pension Contributions from the available reports.
You may also see pension contribution information within the standard payroll report. However, the Pension Contributions Report gives you a more focused view of pension-related information only.
Generating a Pension Contribution Report
When generating the report, you will need to complete a few fields.
Select a pension
If your company has more than one pension set up in Happl, select the relevant pension from the dropdown.
Changes From
The Changes From date is the start date for the period you want to report on.
This is usually the day after your last payroll cut-off date.
For example, if your previous payroll cut-off date was the 20th of last month, you may want to set the Changes From date as the 21st of last month.
Covered On
The Covered On date is the date you want the report to run up to.
This is usually your current payroll cut-off date.
For example, if your current payroll cut-off date is the 20th of this month, you would set the Covered On date as the 20th of this month.
Once these fields have been completed, select Generate Report. The report will then download for you.
What is included in the report?
The Pension Contribution Report includes key employee and pension information, such as:
Employee number
Date of birth
Role level
Salary
Relevant custom fields
Pension contribution type
Employee contribution
Employer contribution
Total contribution
Pension change date
Pension end date, where applicable
The exact columns may vary depending on how your pension has been configured in Happl.
Reviewing pension changes
Once the report has downloaded, you should review the Pension Change Date column.
We recommend filtering or sorting this column so that the latest changes appear at the top. This will help you identify any pension updates that have taken place during the reporting period.
If there is a pension change date within the period you selected, this usually means there has been a change that may need to be reviewed or actioned.
For example, an employee may have:
Changed their pension contribution amount
Changed their pension contribution type
Moved from relief at source to salary sacrifice
Opted out of the pension
Left the business
Finding contribution amounts
The contribution columns you need to review will depend on whether your pension is set up using percentage-based contributions or fixed-amount contributions.
Percentage-based contributions
If your pension is based on percentages, you should review:
Employee contribution in column AD
Employer contribution in column AF
Fixed-amount contributions
If your pension is based on fixed amounts, you should review:
Employee contribution in column AE
Employer contribution in column AG
You can also cross-reference the total contribution column to check the overall pension contribution amount.
Pension end dates
If an employee has a Pension End Date, this will be because the employee has left the business. You can check this by reviewing whether they also have a termination date.
If there is a pension end date but no termination date, this may mean the employee has opted out of the pension.
Best practice
We recommend downloading and reviewing your Pension Contribution Report in line with your regular payroll process.
For most teams, this means running the report from the day after the previous payroll cut-off date up to the current payroll cut-off date.
You should then review any pension changes, contribution updates, opt-outs, or end dates before submitting information to payroll or your pension provider.
