When a new employee’s start date arrives, Happl will automatically trigger an invite email to the employee.
This email includes a link to the Happl platform, but it does not contain a unique invite link. This means the employee does not need the email in order to get started — they can also go directly to the Happl platform and log in from there.
Step 1: Employee receives their Happl invite
On their start date, the employee will receive an invite email from Happl.
The email will direct them to the Happl platform, where they can log in and begin the onboarding flow.
If the employee cannot find the email, they can still access Happl directly by going to the platform login page.
Step 2: Employee confirms their basic details
When the employee logs into Happl for the first time, they will be asked to confirm some basic personal details.
This may include information such as:
Home address
Mobile number
Other required employee details
These details are used to ensure the employee’s Happl profile is complete and that the platform has the information needed to support their benefits experience.
What happens if an employee’s details are incorrect?
If the employee notices that any of their details are incorrect, they will not be able to update them directly in Happl.
Instead, they should update their information in your HRIS or HR system.
This is because your HRIS should remain the source of truth for employee data. Once the information has been updated in your HRIS, it will sync across to Happl.
Step 3: Employee interests and preferences
Once the employee has confirmed their basic details, they may be asked to complete their interests and preferences.
This section helps capture additional information about the employee, which can be useful for things like employee gifting, rewards, or other personalised experiences.
Employees can skip this section if they do not want to complete it.
If you do not want employees to be asked for their interests and preferences, this can be turned off in your Happl preferences.
Step 4: Employee lands on their Happl home screen
After completing the onboarding steps, the employee will be taken to their Happl home screen.
Employees will only see the benefits that they are eligible for.
For example:
If a benefit is only available after probation, the employee will not see it until they become eligible.
If a benefit is only available to employees in a specific country, employees outside of that country will not see it.
If a benefit is only available to certain teams, locations, or employee groups, only eligible employees will see it.
Eligibility is configured during implementation and is based on the rules agreed with your team.
New starter enrolment windows
If you have benefits that require employees to make selections, new employees will usually have a 30-day enrolment window from their start date.
During this window, they can review their available benefits and make their selections.
Once the 30-day window closes, the employee will no longer be able to make changes unless a new enrolment window is opened or another qualifying event applies.
What happens if an employee does not make a selection?
This depends on how the benefit has been configured.
For opt-out benefits, if the employee does not take action during their enrolment window, they will remain opted in.
For opt-in benefits, if the employee does not take action during their enrolment window, they will remain opted out.
This means it is important for employees to review their available benefits and make any selections before their enrolment window closes.
