Creating employee groups

Groups can be used to specify who has access to certain benefits or policies. Here's an article on how to create and get the most out of them!

Here are some common groups created by employers and examples of use:

  • Post-probation employees

    • If you want certain benefits to only be accessible to those who have passed probation

    • You may also want separated 'passed probation' groups for some of the other groups below e.g. 'UK Team All' and 'UK Team Passed Probation'

  • Groups by countries

    • Make location locked benefits only viewable to those who are eligible to access them

    • Home country vs work country

  • Department

    • Certain teams accessing a higher allowance

  • Remote vs Office based

  • Role type

    • Field workers vs office based

  • Employment status

    • Active vs long term leave

  • Tenure

  • Seniority/ grade level

    • Employer pension contribution rate

    • Insurance dependents coverage

  • Employment type

    • Full time, part time, contractor

      • Even though this information may pull through from the HRIS, you still need to create a group for this

  • Opted out of a specific benefit

    • e.g. Opting out of a medical benefit might mean an increased wellbeing allowance

Creating a new group

  1. Select People & Groups in the sidebar

  2. Select Groups tab

  3. Click on the + Add a group button in the top right-hand corner

  4. You'll now have the option of creating a group by listed attributes or creating a custom group by manually selecting employees

Grouping by listed attributes

  1. Under Assign by select Attribute on the left

  2. You can now begin adding rules according to the attributes pulled in from your HRIS

  3. When you've finished adding all the rules, tick the Smart Group option if you want the group to be updated automatically.

    This will happen whenever a new employee joins and fits the criteria or if an existing employee's attributes change, for example, if an employee passes probation, moves country or receives a promotion.

Compounding rules

For more complex eligibility, you can add more rules either 'and' rules to narrow down the groups even more or 'or' rules to broaden the number of employees the group covers.

In the example below, we've created a group for Managers from the following list of countries who have passed probation.

I can't find the category I need/ I want to create a new category

If you can't see the field you need, we can set up something custom for you!

This can only be amended on our end, but we can enable this in bulk for all the affected employees on creation of the new category. After this, you'll need to let us know as and when the category needs updating or if an employee needs to be added or removed.

Creating custom groups manually

  1. Select the group owners - often that will be yourself or other owners, admins or managers.

    A selected manager can only view the group - they can't amend the members

  2. List employees you want to add to the

  3. Click Continue

  4. Add the name of the group

  5. Select the relevant group type

    • Allowance - can only be used for allowances

    • Other - can be multi-use for benefits and policies

  6. Add a description for other admins or specified managers to see

  7. Click Create Group to finish!
