Where to find read-only benefits
To view or edit your company’s read-only benefits:
Go to Admin.
Select Company Benefits from the left-hand menu.
Open the Enrolled Benefits section.
Select the benefit you want to view or edit.
You can also create a new benefit from this page by selecting Create Benefit in the top-right corner.
Editing an existing read-only benefit
When you open a benefit, you will see several sections that control what employees see and how the benefit behaves.
Benefit information
The main benefit information includes:
Benefit title - This is the name of the benefit employees will see.
Discount or strapline - This is the short line of text that appears alongside the benefit. Use this to summarise the benefit clearly and briefly.
Summary
This is the short description employees can see from the benefits homepage before clicking into the benefit for more detail.Category- This determines where the benefit sits within your benefits structure.
Visibility - Use this to control whether the benefit is visible to employees. To temporarily hide a benefit, set the visibility to Inactive rather than deleting it.
Priority - This controls the order in which benefits appear. Higher numbers appear higher up, similar to a leaderboard.
Details section
The Details section is where you should add the main body of information about the benefit.
Include as much helpful information as possible, such as:
What the benefit is
Why the company offers it
Who it is for
What employees can access
How employees can use it
Any important conditions or notes
This section is especially important for read-only benefits because it is often the main source of information for employees.
Adding documents
You can attach documents to a benefit so employees can access them directly from Happl.
This is useful for:
Policy documents
Leaflets
Posters
Employee handbooks
Provider information
Internal guidance documents
Attach any documents that help employees better understand or use the benefit.
Styling the benefit
The styling section controls how the benefit looks to employees.
Logo
Add a logo for the benefit.
For internal policies, such as time off or parental leave, it is recommended to use your company logo. This helps the benefit look clear and professional in the platform.
Hero images
Hero images appear alongside the benefit when an employee opens it.
You can add one or multiple hero images. Use high-quality images where possible, as this will give employees the best experience in Happl.
Redemption options
The redemption section is used when employees need to take an action to access or use the benefit.
For example, if the benefit relates to annual leave, you may want to direct employees to your HR system to book time off.
You can add wording such as:
If you would like to book annual leave, please follow the link below and book this through HiBob.
You can then add the relevant link.
If there is no action for employees to take, you can leave the redemption section blank. This may be suitable for informational benefits such as parental leave policies.
Optional redemption fields
You can also add:
Coupon code
Employees can click the coupon code to copy it to their clipboard.
Phone number
Add a phone number if employees may need to call someone to access the benefit. Make sure to include the country code at the beginning of the number. If employees are using the mobile app, they will be able to dial the number directly from their phone.
Eligibility
The eligibility section controls who can see or access the benefit.
You can set eligibility based on:
Entity
Location
Groups
If your company uses entities, you will need to select the relevant entity from the list.
If you do not use entities, you can configure eligibility using location and any groups that have been set up in Happl.
Homepage category display order
If your company uses homepage categories, you can control where the benefit appears in the display order.
Benefits with higher numbers appear higher up the list.
Think of this like a leaderboard: the highest number appears first.
Adding a total reward statement value
You can add a fixed value for the benefit so it appears in an employee’s total reward statement.
To do this:
Choose the relevant currency.
Add the fixed value.
Save the benefit.
Any employee who is eligible for the benefit will then see this value as a line in their total reward statement.
This is useful for off-platform allowances, such as a learning and development allowance.
For example, if every employee has access to £750 per year for learning and development, you can add this amount so it appears under the allowances section in the total reward statement.
Hiding or deleting a benefit
If you no longer want employees to see a benefit, set the visibility to Inactive.
Only delete a benefit if you are certain it is no longer needed.
Deleting a benefit is permanent and cannot be undone.
Copying a benefit
If your company uses entities and the same benefit applies across multiple entities, you can create a copy of the benefit.
To do this:
Open the benefit.
Scroll to the bottom of the page.
Select Create copy.
Update the copied version as needed.
Assign the relevant entity.
This saves time when creating similar benefits for different entities.
Adding a new read-only benefit
To create a new read-only benefit:
Go to Admin.
Select Company Benefits.
Open Enrolled Benefits.
Select Create Benefit.
Complete the benefit information, details, styling, redemption, eligibility, and total reward statement fields as needed.
Save the benefit.
Once saved and active, eligible employees will be able to view the benefit in Happl.
Filtering benefits
You can filter the benefits shown in the enrolled benefits section.
For example, you can filter by:
Category
Country
This can help you find and manage benefits more easily, especially if your company has a large number of benefits set up in Happl.
Best practice tips
Use clear, employee-friendly language so the benefit is easy to understand.
Add as much useful detail as possible in the Details section, especially for policies or informational benefits.
Use high-quality images and an appropriate logo to make the benefit look polished.
Set benefits to Inactive instead of deleting them if you may need them again in future.
Use the total reward statement value for allowances or off-platform benefits that have a clear fixed value.
Check eligibility carefully before setting a benefit live to make sure the right employees can see it.
