Overview
To connect ADP Workforce Now to Happl, you will need to create:
A Practitioner profile with the required reporting permissions
A dedicated service account user
A connection between the service account user and the Practitioner profile
During the connection process in Happl, you will be provided with the details needed to create the service account in ADP.
Prerequisites
Please ensure you fulfil all the requirements before setting up the integration:
You have Administrator permissions in your company’s ADP Workforce Now account, or an Administrator is available to complete the setup.
Your organisation does not use ADP Workforce Now Canada, which is not supported by this connection method.
Instructions
Step 1: Start the connection in Happl
From the Happl home screen, go to Settings.
Select Integrations.
Under the HRIS section, click Connect.
Select ADP Workforce Now from the list of available integrations.
Select Production Data and begin the connection flow.
Keep this page open. During the setup, Happl will display information that you will need when creating the service account user in ADP.
Step 2: Create a Practitioner profile in ADP
Sign in to your ADP Workforce Now account.
Go to Setup and select Access Permissions.
Select Manage Profiles, then click Create Profile.
Enter a name for the profile, such as Happl Integration Service Account.
Set the profile’s Role to Practitioner.
Step 3: Give the profile access to reports
After creating the profile, configure its access under Menus & Features.
Open Reports & Analytics and enable the following required permissions:
My Reports
All Reports
My Standard Reports
View
Reports Output
Reports Scheduled
Reports Dashboard
Reports Dashboard
Standard Reports
All Reports
Personal & Employment
The All Reports permission only grants access to report categories that have also been selected individually.
Depending on the information you want to sync to Happl, you can also enable:
Benefits for benefits information
Pay Statement History for pay information
Time Off for absence and time-off information
Step 4: Give the profile access to employee information
Under Menus & Features, open People and enable:
Employee Profile Report
Employment Profile
Personal Profile
When syncing payroll information, also enable Pay.
When syncing Time Off, Time and Attendance, Payroll or Benefits information, select All People by clicking Select All in the top-left corner. This allows the integration to access the relevant information for your workforce.
Step 5: Configure sensitive information
Under Sensitive Personal Information, review the settings in:
On Screen & Reports
On Reports
Choose the appropriate level of masking for the information you want to share:
No Masking
Partial Masking
Masking
You should mask any information that you do not want to sync, such as dates of birth, Social Security numbers or bank information.
Please note that Rates must be set to No Masking for employment effective dates to sync correctly.
Once you have reviewed the permissions:
Open Status & Save.
Activate the profile.
Click Save.
Step 6: Create the service account user
From the ADP Setup menu, select Security Management.
Open People.
Select Manage Users.
Click the + button to add a new user.
Enter the service account information displayed in the Happl connection flow.
Click Continue.
Under User Information:
Set the user type to the option stating that the user is an independent contractor.
Set the User Role to Product User.
Under Services:
Find the Practitioner service profile you created in the Available Service Profiles box.
Move it into the Selected Service Profiles box.
Continue through the remaining steps and confirm the new user.
ADP will automatically generate a username for the service account. This is expected.
Step 7: Assign the Practitioner profile to the service account
Return to Setup and select Access Permissions.
Open Manage People.
Search for the service account user. The user may appear under the last name Service Account.
When the user does not appear, click Filters next to the search bar and remove any active filters, such as Active or Leave.
Select the service account user.
Open Manage Profile Memberships.
Add the Practitioner profile you created earlier.
Click Save.
Review the user’s Menus & Features and Sensitive Personal Information settings and confirm that they match the permissions configured for the profile.
Step 8: Give the service account access to your employees
Within the service account user’s permissions:
Open People Access.
Under Service Account Currently Has, enable View Only Access for all required employees.
When necessary, click Change Access to update the selected employees.
Select View List of Selected People and confirm that the list is not empty.
Access must include all employees you want to sync, including terminated employees where applicable.
Step 9: Complete the connection in Happl
Return to the ADP connection flow in Happl and click Submit.
Happl will validate the service account and its permissions. When the connection is successful, you will see a confirmation message.
Sync data to Happl
Once the connection has been completed, your ADP data will begin syncing to Happl.
Depending on the size of your organisation, the initial sync may take anywhere from a few minutes to approximately one hour. Once complete, you can review the imported information in the Data Audit section under Settings.
Having trouble connecting?
First, confirm that:
The profile role is set to Practitioner.
All required reporting and employee permissions are enabled.
The profile is active.
The service account has been assigned to the correct profile.
The service account has View Only Access to at least one employee.
The details entered in ADP match those displayed in the Happl connection flow.
When authentication continues to fail, delete the service account user and restart the process from the service-account creation step. ADP may encounter issues when the details of an existing service account are updated, so creating a new user is often the most reliable solution.
