Managing employees as they leave the business is an important part of keeping your benefits, reporting, and payroll clean and compliant. Happl makes this process simple by offering flexible options to freeze or fully off board employees based on your internal processes.
Freezing an Employee
Freezing an employee temporarily pauses their access to Happl without permanently removing them. This is ideal for employees on long term leave, when someone is transitioning between roles, or when a termination is pending final confirmation.
What freezing does
Removes employee access to the Happl app
Freezes allowances and prevents further spending or claims
Still gives employees access to insurance related benefits such as (but not limited to) private health insurance, cash plans, and dental
Keeps employee data and reports intact for audit and tracking
Reach out to your Happl representative if you require an employees insurance cover to be cancelled at the time of freezing an account.
Off-boarding an Employee
Off-boarding is for employees who have permanently left the company. This ensures clean payroll, accurate reporting, and automatic removal from any active policies.
What off-boarding does:
Removes the employee from your active Happl population
Cancels or ends all applicable benefits (e.g. workplace loans, allowances, insurance)
Stops future payroll deductions
Records a final closing balance for reporting
How to Freeze or Off-board on Happl
To freeze or off-board an account on Happl your profile must be an Admin or Owner. Follow the steps below:
Head to the People & Groups tab in the left hand side navigation
Find the employee by searching or applying the relevant filters
Click into their profile, this should open a profile view slide over with all of their information
Click the Edit Profile button located bottom right of the profile view
Click the red Off-board/Freeze button, and confirm your choice
Automating Off-boarding with HRIS Integration
If you use an HRIS platform connected to Happl, we’ll automatically off-board employees based on the termination date received from your HR system.
Once the termination date is reached:
The employee will be automatically off-boarded from Happl
Their access will be removed
All benefits and deductions will be closed out in line with their end date
Reporting and balances will update accordingly
If you’re not yet integrated with your HRIS, you can connect it anytime in your Integrations settings.
