If you have allowances enabled oh Happl we recommend exporting your transactions once a month to reconcile your Happl balance. It might be more convenient to do this when you're preparing payroll as you may need to export data from Happl to support this.

First make sure you've set up your accounting integration and aliases, you can check out articles on these by following the links.

Head to the Export tab under your Happl Settings. From here you'll be able to view all of the transactions which need reviewing.

Checking Transactions

As an admin you are able to edit all of the transaction details before they are exported. This includes changing the category, VAT rate and uploading receipts. Transactions with a grey '+' are missing a receipt, and those marked with a green tick have a reciept associated with them.

You are able to send receipt reminders to your team from this screen using the button in the bottom right corner. You can also make sure you have set up your Slack integration which will ask employees for receipts every time they spend.

We recommend educating your team around your categories and VAT aliases so that they can do the leg work for you when adding receipts to their transactions. Alternatively you are able to edit these on this screen.

Please be aware that once a transaction has been exported, you won't be able to make any edits on Happl. Any updates would then need to be made directly on your accounting platform.

Exporting Transactions

Once you're happy with the transactions and are ready to export, you can select all using the tickbox next to Description. Once selected hit Ready to export in the bottom right corner to separate them from the transactions which need reviewing.

If you're expecting a large amount of transactions each month, you may wish to review this more regularly.

Once you've market the transactions as Ready to export you can jump to the Ready to export tab. From here you can select all again and hit Export in the bottom right corner. This will then move all approved transactions across to your accounting platform, and block any further edits on Happl.

Exporting raw data

If you want to pull the raw transaction data at any point, you can do this via the Tax Activities Export. Enter the date range for the data you'd like to pull and hit Export Raw. This will give you a csv of all of the raw transaction data.
